Policies

Library Gift Policy

The PGI Library welcomes gifts of books and other library materials that enhance the value of the collection to the Phillips community. Due to limited storage space, prospective donors are asked to contact the Director of Library Services before delivering items to the school. Donors are required to fill out a Library Donation Form and include it with the gift so they may be properly acknowledged.

Each gift to the library is acknowledged with a letter from the President's Office thanking the donor for supporting PGI and stating the type and number of items included in the gift. Phillips does not provide appraisals of value or tax donation letters for donated items.

Donated items become the property of the library. The library reserves the right to determine retention, inclusion, and disposition of the gift. Materials not added to the collection may be offered free of charge to students or faculty, sold or otherwise disposed.

Items which are added to the collection are represented in the library's Internet catalog with a note: "Gift of [donor's name]" unless the donor requests otherwise.

Library Policies/Library Privileges

Currently enrolled Phillips Graduate Institute students, current Alumni Association members, Faculty, Staff, California Family Counseling Center interns and unaffiliated individuals with a current paid membership may borrow library materials subject to the limits outlined below. Pre-enrolled students may use the Library during the months of July and August.

Loan Policy
There is a limit of five items on a single topic and a limit of 10 items total.

Main Book Collection
3-week loan: may be renewed three times, unless on hold. Limit 10.

Child Therapy Collection
1-week loan: may be renewed once, unless on hold. Limit 5.

7-Day Reserve Books
1-week loan: may be renewed once, unless on hold. Limit 5.

New Books
1-week loan: may be renewed once, unless on hold. Limit 5.

Professional Papers
Non-circulating: may be used in the Library

Periodicals
Non-circulating: photocopies may be made for 10 cents per page.

Audiocassettes
2-week loan: may be renewed twice, unless on hold. Limit 5 albums.

Videocassettes/DVDs
2-week loan: may be renewed twice, unless on hold. Limit 5 videos.

Renewals
Items may be renewed in person, by email (to library@pgi.edu) or by telephone. Telephone renewals must be made during the hours that the Library is open. (You must speak with a Library staff member.)

Fines
Overdue fines are 50 cents per item per day. There is a three-day grace period to account for items placed in the book drop. Fines do not accrue on Sundays or holidays.

Lost/Damaged Materials
For lost materials (books, audiocassettes, and videocassettes), a $15.00 processing fee plus the cost of the item will be charged.

Overdues
The Library will send a total of two overdue notices before a billing notice is sent. These notices go out weekly. If the first notice shows fines of a dollar or less, the notice will not be mailed, but will accrue to the second notice. However, if the borrower fails to receive a notice, the borrower is still responsible for overdue items. Library privileges will be suspended if a borrower accrues $5.00 or more in fines or other unpaid library fees.

NOTE: Overdue notices reflect fines accrued on currently overdue items. There may be an additional balance for fines not paid immediately when items are returned.

Returns
Use the book drop at the circulation desk when Library is open. After hours, use the book drop in the wall to the left of the Library front door.

Refunds
Any fee collected in error will be refunded. If a lost item is returned or replaced before a replacement has been ordered, the replacement fee will be canceled; however, half ($7.50) of the processing fee will not be canceled.

Disputes
Borrowers may contest a fee by filing a written appeal to the Director of Library Services. The Director will review the appeal and advise the borrower as to how the dispute will be settled. If the borrower is dissatisfied with the decision and believes that the decision of the Library Director is in violation of institutional policies and procedures, the student may file a Grievance. (See Grievance Policy in the Student Handbook.)
